Angel-Marie Reiner, OLCM, President and Owner of Onyx Condo Management, brings more than 20 years of experience in property management, development, and real estate. When she entered the condominium management space in 2019, she was ready to build something modern and forward-thinking.
But the annual meeting process she stepped into felt anything but modern. Owners’ meetings relied on in-person attendance. Quorum depended on paper proxies. Meeting packages were printed and mailed. And every AGM season felt like the same uphill battle.
“When we moved into property management, owners’ meetings and elections were not digital at all,” Angel explains. “Even though the capability existed, everything relied on in-person meetings and paper proxies.”
For condominium corporations, the Annual General Meeting is critical. Board elections, auditor appointments, financial reporting, and owner votes all happen there. Without quorum, the meeting cannot proceed. And when meetings fail, frustration, delays, and added costs follow.
Why reaching quorum was so difficult
“It was always very hard to get people in person,” Angel says. “The reality is, people work.”
If owners could not attend, the only solution was collecting paper proxies. That meant chasing signatures, sending reminders, and sometimes asking residents to go door to door to gather forms.
“That’s not something a property manager can realistically do alone,” Angel notes. “It requires asking people in the community to knock on doors and meet their neighbours.”
The operational burden extended even further. For larger communities, printing and mailing hundreds of meeting packages meant hours of preparation, coordination, and expense, with no guarantee they would reach mailboxes on time.
“Property managers are already so busy,” Angel says. “There just isn’t time to print and mail hundreds of packages and hope they arrive. It’s simply not efficient.”
Moving meetings and voting online
As Onyx grew, Angel knew there had to be a better solution. Her goal was not just to adopt new technology. She wanted to make annual meetings and board elections easier for boards, owners, and her team.
